This Privacy Policy explains how Volto ("Volto," "we," "us," or "our") collects, uses, shares, and protects information when you visit https://joinvolto.com, book our service, or upload photos and selfies through a Volto gallery link. Volto provides a managed wedding guest photo collection and face-recognition service. We are based in Newton, MA. By using our website or service, you agree to the practices described here.

Information you give us when you book

When a couple or planner contacts us or books a package, we collect the information you submit through our booking form or by email, which may include your name, email address, wedding or event date, venue or city, estimated guest count, the package you are interested in, and any message you send us.

Information guests provide

When guests use your gallery link, we collect the photos they choose to upload. If your package includes the "Find Yourself" feature, a guest may also upload a single selfie so our system can find the photos they appear in. See Face recognition & biometric data below for exactly how that selfie is handled.

Payment information

If you purchase a package, payment is processed by a third-party payment provider. We receive confirmation of payment and basic billing details, but we do not collect or store full card numbers on our own systems.

Information we collect automatically

Like most websites, we automatically receive certain technical information when you visit, such as your IP address, browser type, device information, referring pages, and how you interact with the site. We use this for analytics and security. See Cookies & analytics.

Face recognition & biometric data

The "Find Yourself" feature lets a guest find every photo they appear in across the whole collection. Because this involves processing facial images, we treat it with the highest level of care, and some laws classify it as biometric information. We use Amazon Rekognition to power this feature. Here is exactly how it works:

• The guest's selfie: A guest voluntarily uploads one selfie. It is used for a single, one-time search and deleted right after the search completes. It is never stored afterward, shared, or used for any other purpose.
• Faceprints from the event photos: To make the search possible, our system creates faceprints (mathematical representations of facial geometry) from the faces in that event's photos and keeps them in a private, per-event index. This index is never shared between events and is never used to identify anyone by name.
• Deletion: The per-event faceprint index is deleted when the event is archived. We do not build a cross-event or permanent database of face data, and we never use face data for advertising, profiling, identity verification, or training AI models.
• Consent: Using "Find Yourself" is entirely optional. A guest provides a selfie only if they choose to, and by doing so they consent to this one-time search. A guest can simply not use the feature and still view and download the gallery.
• No sharing: Face data is never sold or shared with third parties beyond the processing provider that powers the feature.

If you are a couple booking Volto, you are responsible for letting your guests know that the gallery includes an optional face-search feature, so they can decide whether to use it. We make this easy with the language we provide alongside your gallery link.

How we use information

We use the information we collect to:

• Set up your private gallery, collect guest photos, and deliver your finished collection;
• Run the optional face-search feature as described above;
• Respond to your messages, process bookings and payments, and provide support;
• Send you service-related communications, such as your gallery link, delivery notices, and a post-event reminder you can forward to guests;
• Operate, secure, and improve our website and service;
• Comply with our legal obligations and enforce our Terms of Service.

How we share information

We do not sell your personal information or your photos. We share information only in these limited circumstances:

• Service providers: We use trusted vendors to operate Volto, including website hosting, form processing, analytics, and payment processing. They may process information on our behalf only to provide their service to us, and are bound by confidentiality obligations.
• With the couple: The photos guests upload to a gallery are, by design, shared with the couple who booked that gallery. That is the purpose of the service.
• Legal reasons: We may disclose information if required by law, regulation, legal process, or to protect the rights, property, or safety of Volto, our customers, or others.
• Business transfers: If Volto is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

Cookies & analytics

We use cookies and similar technologies to operate the site and understand how it is used. We use Google Analytics to collect aggregated, mostly anonymized statistics about site traffic and usage. You can control cookies through your browser settings, and you can opt out of Google Analytics using Google's opt-out browser add-on. Disabling cookies may affect how some parts of the site function.

Data retention

We keep information for as long as needed to provide the service and for legitimate business or legal purposes. Specifically: a guest's selfie is deleted right after their search; the per-event faceprint index that powers face search is deleted when the event is archived; booking and contact details are retained while we provide your service and for a reasonable period afterward; and galleries and uploaded photos are retained for your gallery access period (typically one year) so you can access and download them, after which they may be removed. You can ask us to delete your information sooner, and we will do so unless we are required to keep it by law.

Your rights & choices

Depending on where you live, you may have rights over your personal information, including the right to access, correct, delete, or receive a copy of it, and to object to or restrict certain processing. To exercise any of these rights, email us at hello@joinvolto.com and we will respond as required by applicable law.

• California residents (CCPA/CPRA): You have the right to know what personal information we collect, to request deletion, to correct it, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined under California law, and we will not discriminate against you for exercising your rights.
• EEA/UK residents (GDPR): Where applicable, our legal bases for processing are your consent (for example, the optional face search), the performance of our contract with you, and our legitimate interests in operating and securing our service. You also have the right to lodge a complaint with your local data protection authority.
• Biometric data: Because the face search is optional and consent-based, you can decline it entirely. A guest's selfie is deleted right after the search, and the per-event faceprint index is deleted when the event is archived.

Data security

We use reasonable technical and organizational measures to protect information, including encryption in transit and access controls. Your gallery is private and accessible by link rather than publicly indexed. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.

Children's privacy

Our website and booking service are intended for adults and are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Wedding photos may, of course, include children as guests; those photos are uploaded and managed by adults under the couple's gallery. If you believe a child has provided us personal information directly, please contact us so we can remove it.

International users

We are based in the United States and process information here. If you access Volto from outside the United States, you understand that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the site or service after changes take effect means you accept the updated policy.
